# Summarize Documents

[Summarize Documents with AI](https://fast.wistia.net/embed/iframe/99h4zaxcna?seo=true\&videoFoam=true)

## Introduction

Extensive documents can be summarized in a targeted way with nuwacom. The system extracts the key statements, filters by context, and answers specific questions.

## Key Benefits

* **Save time:** Extract key information from lengthy documents without reading every page.
* **Focus on what matters:** Filter insights by role, business context, or specific questions.
* **Get actionable results:** Turn document content into summaries, comparisons, tables, or action items.

## Use Cases

Interpreting industry reports, comparing policies, condensing meeting minutes into to-dos, filtering manuals, research.

## How it works

### Step 1: Choose the right format

Document structure directly influences the quality of the results. Structured documents with clear headings and sections allow more precise information extraction.

Markdown files work particularly well because their structure helps the model identify topics and hierarchies.

**Best practices:**

* **Use text-based PDFs:** PDFs with a text layer deliver immediately usable results.
* **Prefer Markdown for recurring use:** Convert frequently used documents to Markdown using tools such as [t0md.com](https://t0md.com).
* **Keep documents focused:** One document per topic works better than a single file covering multiple subjects.
* **Choose descriptive file names:** `website-health-report-03-2026` is more meaningful than `final-version-3`.

### Step 2: Adapt the prompt

Specify which information is relevant and how the result should be structured. Choose an approach based on the task.

**Role-based summary**

Extract information relevant to a specific role or business context.

```text theme={null}
I am a [role] at a [industry] company of [size],
focused on [market]. Extract only relevant information
and present it as a list.
```

**Compare changes**

Identify differences between documents or versions.

```text theme={null}
Compare this document with [previous version / baseline].
Show the differences in a table: previous information,
new information, and impact.
```

**Structured output**

Turn information into actionable results.

```text theme={null}
Create a checklist of action items grouped by
[department / priority / timeframe].
Include task, owner, and deadline for each item.
```

**Example: Summarizing a marketing report**

```text theme={null}
I am a marketing lead at a B2B SaaS company.
Identify channels performing below target.
Show current value, target value, and percentage
deviation in a table. Include the agency's recommendation.
```

### Step 3: Work iteratively

For longer documents or complex requests, refine the results through consecutive prompts.

1. **Orientation:** What is this document about? Give me an overview in 5 sentences max.
2. **Relevance filter:** Which sections are relevant for me in \[situation / question]?
3. **Action:** From these relevant sections, create concrete to-dos with deadlines.

### Step 4: Validate results

AI-generated summaries do not replace expert review. Facts with high relevance should still be double-checked before further use. To make this easier, you can have the relevant passages surfaced directly in the output (page number, paragraph, slide).

## Pro tips

> **Analyze multiple documents**
>
> Attach several documents at once and let the results be compared with relevant knowledge from your knowledge base. This way you spot shared statements, deviations, and new information faster.

> **Convert key documents to Markdown**
>
> For documents the team uses repeatedly, converting to Markdown before upload pays off. Headings, bullet points, and clear sections improve retrieval quality every time information is queried from the files.

> **Use Skills for recurring tasks**
>
> If you regularly extract information from documents following the same pattern, a skill with predefined instructions can ensure consistency of the output.

## FAQ

> **How long can a document be?**
>
> There is no fixed page limit. What matters is not the length of the document, but whether it is thematically focused. A 60-page text on a single topic works reliably. A 200-page compendium covering multiple subject areas delivers better results when uploaded chapter by chapter.

> **Which file formats are supported?**
>
> PDF, DOCX, PPTX, XLSX, and other common formats. Markdown files deliver the highest structural quality.

> **Does this also work with scanned PDFs?**
>
> Yes. nuwacom automatically recognizes text in scanned documents via OCR, even for image-only PDFs. For the best recognition quality, a clean, easily readable scan is recommended.

> **Do my documents remain confidential?**
>
> Yes, uploaded documents are not used for model training and remain within your workspace. Access rights are respected.
