# Knowledge

## Overview

Files, notes, and connected sources — all in one place. Knowledge is the central store that supplies chats, agents, and projects with up-to-date information, keeping every relevant document structured and automatically synced. Everything a team relies on comes together in one searchable place, so content created natively in nuwacom and content uploaded or synced from external tools such as SharePoint or Google Drive can be found, organized, and reused from a single interface.

## Key Benefits

* All sources, including Data Connectors such as SharePoint and synced spaces and folders from Confluence or Google Drive, appear directly in the sidebar.
* New content is created in place, generating documents, slides, notes, emails, images, and videos directly within the Knowledge.
* Several files can be selected at once to start a chat, move, share, or download them together, and a chat can also be started directly from a single file.
* Content is found fast through full-text search across the entire Knowledge, combined with filters by type, source, date, person, or project.
* Team collaboration is supported, allowing root- and subfolders to be shared with individuals or the entire team while access rights are managed precisely.

## When to Use Knowledge

Knowledge is used whenever a company's collective information — connected sources and stored content — needs to come together in one place to support work with AI. Documents, notes, files, and connected sources provide the information that chats, agents, and projects draw on to answer questions, generate content, analyze data, and support workflows.

## Knowledge Overview

In Knowledge, content is organized across several key areas:

* *My Drive* contains personal content
* *Shared with me* collects files and folders that others have shared.
* The table view lists the contents of the current location in a structured, sortable format.
* *Searchbar* searches across the entire knowledge

## The Table View

Files, notes and connected sources are presented in a table. Each column supports sorting, and a checkbox on each row enables multi-select for batch actions.

The table can be sorted by clicking a column header to toggle between ascending and descending order.

## Filtering

Two controls narrow the current view; both can combine with each other and with search to refine results results down to a precise set.

The *People* button filters content by person. A *Search people* field locates someone quickly, and three scopes refine the results: *All* returns every item associated with that person, *Creator* limits results to items they created, and *Shared with* limits results to items shared with them.

The *Filter* button narrows the view by attribute:

* *Type* filters by resource format, such as folders, PDFs, images, or notes.
* *Source* filters by origin, such as nuwacom or a specific synced connection.
* *Modified* filters by time frame, with options including *Any date*, *Last 24 hours*, *Last 7 days*, *Last 30 days*, and *Last year*.
* *Created* filters by the date the item was created, including *Any date*, *Last 24 hours*, *Last 7 days*, *Last 30 days*, and *Last year*.
* *Project* filters by an associated project, with a *Search projects* field to locate one quickly.

## Add files

The *+Add* button brings existing content into the Knowledge. Its menu covers:

* *New folder* creates an empty folder to organize content.
* *Upload folder* imports an entire folder and its contents.
* *Upload files* imports individual files from your device.
* *Synced connections* links external services such as SharePoint and Google Drive, so their files stay available and searchable inside the workspace.

  * All content is **private by default** and only visible to you
  * Items created in nuwacom (Notes, Documents, Slides etc.) are **automatically saved here**
  * You decide at any time if and with whom you share content

## Create content

The *+Create* button generates new content directly inside the Knowledge. The new item is created in the current location and appears in the table once saved. Available formats include:

* Document writes structured content such as concepts or reports.
* Slides generates presentation slides for meetings or pitches.
* Notes captures ideas or meeting notes.
* Emails drafts professional emails.
* Images creates visual content from a description.
* Videos creates videos based on text descriptions.

## Work With Selected Files

Selecting a file in the Knowledge view opens a panel with a preview and two direct actions: *Start chat* and *Edit*. Both keep the selected file as the working context, so a file can move into a conversation or into its editor without being reattached.

### Steps: Start a Chat from a File

1. Open the Knowledge and locate the file through the folder structure or the *Search knowledge* field.
2. Select the file to open the preview.
3. Choose *Start chat* to open a new conversation with the file set as attached file.
4. Describe the task in the input field, then send the request.

### Steps: Edit a File

1. Select the file in the Knowledge to open the preview.
2. Choose *Edit* to open the file in its editor.
3. Apply changes using the editor tools.

The editor that opens depends on the file type, with Slides opening in the slide editor and other file types opening in their respective editors.

## How do I organize files effectively?

The Knowledge Base is the shared foundation for collaboration between your team and the AI. Its content is used as context so the AI can generate answers and content based on your data.

Each team organizes its own knowledge area and takes responsibility for its content and structure.

**Examples:**

* The marketing team maintains a “Marketing” folder with brand guidelines, campaign materials, product copy, and social media templates.
* The sales team organizes a “Sales” folder with presentations, proposal templates, pitch guides, and pricing sheets.
* The legal or compliance team manages a “Legal & Policies” folder with contracts, data protection policies, approvals, templates, and approved wording.

* Start lean with a clear and intuitive folder structure.
* Structure folders by department, team, or use case.
* Only use relevant and up-to-date content and avoid outdated files.

## How do I add files?

Uploaded files and newly created folders are private by default and only visible to you. You decide when and with whom to share your content.

Create **folders** to upload important documents and structure them clearly by department, team, or project.

Each team—whether marketing, sales, product, or legal—can create its own folder with subfolders:

* **Clear ownership:** Each team manages its area independently
* **Faster onboarding:** New team members instantly find structured knowledge
* **Scalability:** New teams and folders can be added anytime

**Example:**<br />Create a marketing folder and structure it with subfolders like *Brand Guidelines*, *Campaigns*, *Product Copy*, or *Social Media*. Upload all relevant documents so the AI can generate on-brand, consistent content and answer questions based on up-to-date information.

**How it works:**

1. Navigate to the Knowledge Base.
2. Create a new folder and give it a clear name, e.g. “Marketing”.
3. Upload the relevant files your team and AI should use as context. You have multiple options:
   * **Sync external connectors:** Connect files from OneDrive, Google Drive, or SharePoint.
   * **Upload files:** Upload individual files such as PDFs, presentations, Word documents, or spreadsheets.
   * **Upload folders:** Upload entire folder structures at once. Subfolders and content are included automatically.
   * **Drag & drop:** Drag files or folders directly into the Knowledge Base.
   * **Create document:** Create new content directly in nuwacom, such as notes, briefings, or guidelines.
4. Invite your team to use this knowledge together.
5. Add the folder to chats, agents, and projects. When you update it, changes are automatically reflected everywhere.

## How do I share files with my team?

Uploaded files and newly created folders are private by default and only visible to you. You decide when and with whom to share your content.

### **How sharing works**

1. Open the folder and click Share.
2. Select one or more people or share the folder with the entire workspace.
3. Set permissions for each person (or the workspace).

### **Permissions**

* **View**: View files but not edit them.
* **Edit**: View, add, modify, or delete files.
* **Remove access**: Revoke access at any time.

**Example**<br />A “Policies & Templates” folder starts as private and is then shared selectively—for example, with view access for marketing and edit access for the legal team.

  **Example**<br />If you share the root folder “Policies & Templates” with someone, they automatically get access to all included subfolders and files. The assigned permissions (view or edit) always apply to the entire root folder.

## Sync external connectors

Connect files from OneDrive, Google Drive, and SharePoint directly to your knowledge base. This ensures you always work with up-to-date content in nuwacom, without manually uploading or maintaining files. The AI extracts the content and uses it as the foundation for precise answers in chats, agents, and projects.

**Your benefits**

* **Automatic synchronization:** Changes in external data sources are reflected in your knowledge base in real time.
* **Preserved structure:** Folder structures remain intact.
* **No manual updates:** The AI always uses the latest content automatically.
* **Single source of truth:** No version conflicts, no duplicates.

### **How it works**

1. Navigate to the knowledge base.
2. Select a section and click *Add*.
3. Choose the connector you want, for example SharePoint.
4. Connect your account if you haven’t already.
5. Select folders or individual files with one click and add them to the folder.

**Result:** Selected content is connected within seconds, stays automatically synchronized, and is initially only visible to you. The AI extracts the content and uses it as a knowledge foundation to deliver precise, context-aware answers in chats, agents, and projects.

  <Accordion title="I don’t see external connectors. What can I do?">
    Connectors must be enabled in your workspace settings. Navigate to Workspace Settings > Connectors > Available Connectors to enable the connectors you need.

  <Accordion title="Which connectors are supported?">
    Currently, you can connect Sharepoint, OneDrive, Google Drive, and Confluence. Contact our team if you want to connect additional data sources or learn more about custom integrations.

  <Accordion title="In which direction does the synchronization work?">
    Synchronization is one-way. Changes in the external source are automatically updated in nuwacom. However, changes made in nuwacom are not written back to the external system.

  <Accordion title="What happens when new files are added in the connector?">
    New files are automatically synchronized. This process may take a few minutes.

  <Accordion title="Can synchronized files be deleted in nuwacom?">
    No. Deleting a file in nuwacom only removes it from the nuwacom folder. The original file in the external data source remains unchanged.

  <Accordion title="How can I identify automatically synchronized files?">
    Files with automatic synchronization are marked with a small cloud icon next to the document name. This allows you to quickly see which files are synced automatically.

    No. Only the content is extracted. The original files are not stored in nuwacom.

  <Accordion title="Who can access synchronized files?">
    Files you sync in “My Files” remain private and are only visible to you. Files in a new knowledge folder are also private by default. They only become accessible to others once you actively share the knowledge folder with users, user groups, or the entire workspace.

  <Accordion title="How can I share synchronized files with others?">
    Files synced from external connectors are initially only visible to you. To share them, you have two options:

    **1. Upload files directly into a shared knowledge folder**<br />Upload files directly into a knowledge folder that is already shared with others.

    **2. Share files afterwards**<br />Move files via drag & drop into a shared knowledge folder. The files will then automatically be visible to everyone with the appropriate permissions.

    No. Permissions from SharePoint, OneDrive, or Google Drive are not transferred to nuwacom. Access is determined by the knowledge folder where the synced files are stored.

    If a knowledge folder is shared with user A, even though they don’t have access in the connector, user A will still gain access to the synced content <u>within nuwacom</u>. Permissions in the source system remain unaffected.

    Readers only have access to shared files with view permissions. They cannot upload or manage files.
