# Policy and Process Guidance

[Policy and process guidance](https://fast.wistia.net/embed/iframe/vrwjso36se?seo=true\&videoFoam=true)

## Introduction

nuwacom answers questions about internal policies and processes using company knowledge. It explains the relevant steps and links to the authoritative source. This turns information from long documents into practical guidance and a concrete next step.

## Key Benefits

* **Save time:** Find relevant policy and process information without searching through long documents.
* **Check the source:** Review the authoritative document behind the guidance.
* **Prepare the next step:** Turn the conversation into a draft request or a concrete checklist.

## Use Cases

Common situations include:

* Looking up remote-work and work-abroad policies.
* Clarifying security requirements in day-to-day work.
* Understanding approval and absence processes.
* Checking procedures for new products or projects.
* Preparing a request to the responsible team.

## How it works

### Step 1: Make the relevant documents available

Policies and internal guidelines can be stored directly in the Knowledge Base or made available through Connectors to SharePoint, Confluence, or other external systems.

### Step 2: Select the relevant sources in the chat

The selected sources determine which company knowledge is available for the request. Enable the relevant Connectors, such as Confluence, or select the Knowledge Base for documents stored directly in nuwacom. Enable web search when external information is also required.

### Step 3: Ask a specific question

Specific questions provide the context needed for precise guidance. A conversation can start with the remote-work policy and then clarify the requirements for working abroad.

**Example question**

```text theme={null}
How many days per week can I work from home, and how do I request it?
```

### Step 4: Continue working with the result

The conversation provides context for follow-up tasks, such as drafting a ready-to-send message or creating a concrete checklist. For a workation request, the information gathered in the chat can be turned into a draft for the People team.

**Example prompt**

```text theme={null}
Draft a short message to my People team with all the details needed to request my workation.
```

## Pro tips

> **Match sources to the request**
>
> The relevant policies and process descriptions must be available and selected as sources in the chat. If an authoritative document is missing, the answer may remain general.

> **Include source references**
>
> A request to include the underlying document and section makes it easier to check each point against the authoritative policy.

> **Prepare formal approval**
>
> A draft request or checklist helps prepare the next step. Approvals, exceptions, and binding compliance or legal questions still require formal sign-off from the responsible team.

## FAQ

> **Does the answer draw only on internal documents?**
>
> With the relevant internal sources selected, nuwacom can base its guidance on the available policies and guidelines. If an authoritative document is missing, the answer may remain general and should not be treated as a confirmed company rule.

> **Which topics does this suit?**
>
> Any area with documented policies or processes, including HR, IT security, procurement, and quality management. The relevant documents must be available and selected as sources in the chat.

> **How can the underlying rule be identified?**
>
> A request to include sources helps identify the document and section supporting each point. The references in the output make it possible to check the guidance against the underlying policy.

> **Does this replace confirmation from the responsible team or a legal review?**
>
> No. The guidance provides orientation and helps prepare a request. Approvals, exceptions, and binding compliance or legal questions still require formal sign-off from the responsible team. This includes tax and social security requirements when working abroad.
